You can create professional presentations that attract your audience, such as those for schools, offices, and management events. If you spend time with PowerPoint, you can review its various options. It is famous for student projects, staff training, and presenting business ideas to potential investors.
Still, PowerPoint has limitations in its usability. For example, PPT files cannot be uploaded to YouTube. However, they can be shared on a website or social media, and a presenter must explain the concepts and bullet points on the slide.
So, Microsoft has introduced new features to make PowerPoint presentations attractive. There are various methods for creating presentations and presenting them well. One standard way is to convert the PPT file into a video, which can be easily shared and viewed by a wider audience.

Convert PPT Presentations into Videos Screen Recordings GIFs Captions and Export
You can add animated GIFs, videos, recordings, and captions to your PowerPoint and export your presentation as a video. When you record a presentation, everything, including your voice, animations, pointer movements, timings, and more, is saved in the presentation.

Converting Presentations into Videos
You have two options to convert your presentation into a video.

1. Save/export your presentation to a video file format (.mp4 or .wmv). |
2. Save the presentation as a PowerPoint Show (.ppsx) file. |
Save as a Video File ( (.mp4 or .wmv)
In this method, to convert your presentation into a video, finish your PowerPoint presentation by adding timing, narration, or laser pointer gestures to create a video file.
- On the File menu, select Save to all your recent work saved in PowerPoint format (.pptx).
- Select File > Export > Create a Video.
Select the video quality for your finished video from the options under Create a Video. Higher quality means a larger file size, so it’s best to test them to see which suits your needs.

After selecting video quality, hit Create Video.

In the File name box, enter a file name for the video, browse for the folder containing this file, and then select Export.
- Choose MPEG-4 Video or Windows Media Video in the Save as type box.
- Go to the saved folder and double-click the file to play your newly created video.

Save as a PowerPoint Show
When a PowerPoint Show file is opened, it immediately appears in Slide Show mode, allowing viewers to start watching the presentation.

Add an Animated GIF
A .gif file can be a still image or an animated image. If you have an animated GIF, you can insert it on a slide. A still image GIF cannot be converted into an animated GIF. You can insert a GIF file stored on your computer or from OneDrive.
- Select the slide that you want to add the animated GIF to.
- In the Insert tab of the ribbon, click Pictures.
- In the Insert Picture From dialog box, navigate to the location of the animated GIF you want to add.
- Select the file, and then click Insert.

To play the animation, select the Slide Show tab on the ribbon, and then, in the Start Slide Show group, select From Current Slide.

Insert and Play a Video File from Your PC
You can insert an embedded video (the default behavior) or link to a video file stored on your computer. However, this should depend on the version of PowerPoint you are using. You can use .mp4 files fixed with H.264 video (a.k.a. MPEG-4 AVC) and AAC.

Linked Video | A linked video reduces the size of your presentation file, but links can break. It is best to store presentations and linked videos in the same folder. |
Embed a Video Stored on Your PC
In Normal view, click the slide where you want to add this video. Click the arrow under Video on the Insert tab, and then select This Device (or Video on My PC).
- Click the video you want from the Insert Video box, then click Insert.
Link to Video Stored on Your PC
This option creates a link to the video file instead of embedding it directly into the presentation. To prevent broken links, copy the video to the same folder as your presentation and link to it there.
- In Normal view, click the slide where you want this video’s link.
- To insert a video, navigate to the Insert tab, click the arrow under Video, and then choose This Device (or Video on My PC).
- In the Insert Video box, click the file you want to link.
- Then click the down arrow next to the Insert button and click Link to File.

Insert a Video from YouTube or Another Site
You can insert an online video from YouTube or Vimeo on a slide in PowerPoint for Microsoft 365, PowerPoint 2021, or PowerPoint 2019.
- Locate the video you want from in your web browser.
- From your browser’s Address bar, copy the web page URL.

Move back to PowerPoint and select the slide where you want to place the video.
- Select Video > Online Video from the Insert tab of the ribbon.
- Paste the URL in the Online Video dialog box,
- Select Insert.

How to Play the Video
Once the video is inserted successfully, you can play it in Normal view or Slide Show.
- In Normal view, a Play button appears in the video.
- In Slide Show, you can Play and Pause the videos like in a web browser.
- Videos from YouTube and Vimeo play in click sequence by default.
- You can play the video without clicking the Play button. Just tap the spacebar to go to the next step in your click sequence.

Screen Recording in PowerPoint
You can record your computer screen and related audio in PowerPoint. Insert the recording into your slide or save it as a separate file. Open the slide that you want to record on the screen. Select Screen Recording in the Insert tab of the ribbon.
- On the Control Dock, choose Select Area (or, to select the entire screen for recording, press Win+Shift+F).
- You can see the cross-haired cursor. Select and drag to choose the area of the screen you want to record.
- The minimum size area you can record is 64×64 pixels.
- Then select Record. Use Pause as needed.
- Once you have finished the selected area recording, Stop it.
- Your video is added to the slide. Right-click the video frame, select the Start icon, and choose how you want your video to start, such as in click sequence, automatically, or when clicked on.
- You can change the look of the video by right-clicking the video frame, selecting the Style icon, and opting for another shape.

You can Save your screen recording as a separate file. To do so, right-click the video frame and select Save Media. In the Save Media as box, choose a folder, and in the File name box, type a name. Select Save.
Record a Presentation
PowerPoint Presenter View shows the current and following slides and the speaker notes to help us focus while presenting and connect with our audience.
- Make sure the presenter view is selected.
- Choose which monitor you want your presentation to appear on.
- To start your presentation, select from the beginning.

If you need to jump to a specific slide, use see all slides. To view details on the slide, choose Zoom into Slide and then point to the part you want to see.
- Select the Black or Unblack slide show to hide or unhide the current slide.
- Select Toggle Subtitles to turn subtitles On or OFF during your presentation.
- When you are done presenting, select End Slide Show.

Add Captions/ Subtitles to Videos
You can add closed captions or subtitles to your PowerPoint presentations for Windows, macOS, and the web. This will help a wider audience, including people with hearing disabilities and those who speak different languages, to access your presentation. Prepare a text-based caption file with a .vtt filename extension before adding captions.
- In PowerPoint’s Normal view, open the slide with the video you want to caption.
- Select the video on the slide.
- On the Playback tab, click on Insert Captions, and then select “Insert Captions” again.

To add captions, select the file or files in the Insert Captions dialog box and click Insert. If you need to add more caption files, repeat the process. Then, play the video and make sure the captions appear correctly.
